Slate Captain, Institutional Advancement

Function of Position:

Responsible to the Executive Director for Advancement for serving as the primary functional owner and administrator of the Advancement Customer Relationship Management (CRM) system, Technolutions Slate. The Slate Captain leads the configuration, maintenance, optimization, and governance of the Advancement CRM to support fundraising, alumni engagement, stewardship, and constituent relationship strategies. This position oversees data integrity, system workflows, reporting, integrations, and user training; collaborates with campus partners to align technology with institutional advancement goals; supervises staff and student workers as appropriate; and plans and executes CRM-related initiatives to ensure accurate, timely, and actionable data in support of institutional objectives. The incumbent works with students, colleagues, alumni, donors, and Board members, treating all with respect and maintaining the highest standards of confidentiality and data stewardship. Some evening and/or weekend work may be required.

Principal Duties and Responsibilities:
 
  • Serve as the primary functional administrator and subject matter expert for Slate for Advancement, overseeing system configuration, security roles, data structures, workflows, forms, portals, events, communications, automations, and reporting.
  • Oversee the integrity, accuracy, and maintenance of the Advancement CRM and related systems, including constituent records, gift and pledge data, campaign information, prospect activity, and alumni engagement records.
  • Lead the development, preparation, and distribution of Advancement reports, dashboards, and analytical tools to support fundraising, alumni relations, stewardship, and leadership decision-making.
  • Manage and optimize Advancement workflows within Slate, including gift processing, online giving, stewardship communications, campaign tracking, event management, portfolio/pipeline tracking, appeal segmentation, and donor engagement activities.
  • Serve as the primary liaison between Institutional Advancement and Information Technology Services regarding CRM integrations, data exchanges, upgrades, security, and related technology initiatives.
  • Develop and maintain documentation, standard operating procedures, and governance; coordinate testing, annual cycle preparation, and release notes.
  • Provide training and ongoing enablement of Advancement staff, utilizing such models as train-the-trainer, holding office hours, and championing best practices to ensure effective and consistent use of Slate.
  • Supervise Gift Processor and Data Specialist staff and student workers as appropriate, including hiring, training, scheduling, performance development, and cross-training.
  • Manage CRM-related projects and initiatives, including system enhancements, process improvements, testing, annual cycle preparation, and release coordination.
  • Monitor Slate community updates and peer practices; participate in professional development and represent Institutional Advancement in campus working groups.
  • Perform other related duties as assigned.
Minimum Qualifications:
 
  • Bachelor’s degree required; experience administering, supporting, or as a superuser in a CRM system in a higher education, nonprofit, or advancement environment, preferred. Demonstrated understanding of advancement operations, including fundraising, gift processing, prospect research, and stewardship.
  • Strong analytical and technical skills, including experience with database querying, reporting, and data analysis.
  • Ability to manage multiple projects, prioritize competing demands, and meet deadlines with attention to detail and accuracy.
  • Excellent communication, training, and collaboration skills; ability to work effectively with diverse stakeholders.
  • Demonstrated commitment to data confidentiality, ethical data stewardship, and institutional values.
  • Experience with Slate by Technolutions or similar CRM platforms is strongly preferred.
